Position Overview

The firm has an opening for a full-time Legal Assistant in its Litigation Department ‎in the Portland office and offers a hybrid working environment.

We are seeking a dedicated and detail-oriented Litigation Legal Assistant with 5-10 years of experience to join our dynamic team. In this role, you will support our attorneys in managing a high volume of litigation cases in a fast-paced environment. The successful candidate will have strong organizational skills and attention to detail, be proactive and able to prioritize tasks effectively, and be a self-starter who enjoys a fast-paced, team environment‎.

Essential Duties:  

  • Assist attorneys with all aspects of litigation, including case preparation, discovery, and trial support.
  • Draft, review, and file legal documents, including pleadings, motions, and correspondence.
  • Organize and maintain case files, ensuring all documentation is accurate and up to date.
  • Help manage case calendars, deadlines, and appointments, ensuring timely submissions.
  • Prepare electronic and hard copy trial notebooks.
  • Communicate effectively with clients, court personnel, and opposing counsel.
  • Prepare trial exhibits and assist with trial preparation, including traveling to/from local courthouse.
  • Maintain confidentiality and adhere to ethical standards in all communications and documentation.
  • Perform administrative tasks, including filing, typing, and special projects.

Required Experience and Competencies:‎

  • Experience with court systems and e-filing procedures in Oregon and Washington is required.
  • Experience as a legal assistant or paralegal in litigation is required.
  • Strong understanding of legal terminology and procedures.
  • Excellent organizational skills and the ability to manage multiple priorities.
  • Strong written and verbal communication skills.
  • Ability to work effectively under pressure and meet tight deadlines.
  • Detail-oriented with a commitment to accuracy.

Position Overview

Schwabe, Williamson & Wyatt is seeking a full-time Legal Assistant/Receptionist in the Anchorage office. This position will be in-office from 8:00 am – 5:00 pm, Monday through Friday.

The Legal Assistant/Receptionist must deliver excellent internal and external client service in a professional manner. In addition, this position requires the ability to learn and utilize computer software, follow instructions carefully and accept a full variety of projects, work on multiple projects simultaneously, and meet deadlines as assigned.

This position requires strong secretarial skills, strong computer skills, and a high level of organization and accuracy with attention to detail. The successful candidate will be able to turn work around quickly, possess strong oral and written communication skills and be a self-starter with a positive attitude who enjoys a team environment.

Essential Duties:  

  • Oversee the day to day operations of the office, which may include maintaining/ordering office supplies, as well as coordinating office repairs
  • Reception duties, including greeting clients and guests, answering phone calls, processing incoming and outgoing mail and deliveries
  • Assist with opening and organizing files, creating indexes, closing files and working with the records department
  • Assist with meeting preparation
  • Proofread, convert, format, and edit multiple documents
  • Create shell documents, such as pleadings or letters to clients
  • Prepare documents for binders
  • Errands such as delivery or pick-up of documents, supplies, mail, etc.‎
  • Electronic file management, including saving emails, email transmittal of correspondence, and other documents
  • Assist with copy and scanning projects
  • Assist with large mailings, prepare UPS slips for overnight delivery
  • Handle and trouble-shoot audio/video conference systems
  • Other duties as assigned

  • Manipulate PDF’s such as labeling exhibits and compiling signature pages
  • Pull and prepare documents for notebooks and filing (exhibits, bates numbering, etc.)
  • Discovery and production organization
  • Prepare electronic and hard copy hearing notebooks
  • Process legal documents for distribution and electronic storage
  • Manage attorney and paralegal calendars
  • Docket of deadlines, hearings and trials
  • Run conflicts checks and set up new clients and matters
  • Proofread, edit, and format various types of documents and knowledge of grammar rules
  • Perform administrative work including filing and special projects
  • Other duties as assigned
